Booking Terms

Fees
Fees are payable a minimum of two working days in advance of the lesson.-
​A lesson cannot take place unless it has been paid for.
- ​I cannot guarantee my availability for any advance payment that is less than 48 hours before the lesson.

Cancelling or rescheduling one-off lessons:
You can cancel or reschedule a lesson but you must cancel it within two full working days of the lesson. A credit will then be added to your account and you will be able to rebook the lesson at another time by contacting me. -
Cancelling and/or rescheduling block-booked lessons:
In addition to the above terms, block-booked lessons may only be rescheduled twice (for a ten-lesson block booking) or once (for a five-lesson block booking). If additional lessons need to be changed the original lesson is forfeited and a new lesson and payment will be taken. -
Existing students confirming extra lessons:
If you ask for an extra lesson at any point, please confirm in writing (email) at least two working days before that lesson. If you do not I will not have the time to fit in any lesson preparation and the lesson will not be possible. -
My lesson schedule:
Once registered as a student, I will contact you to discuss payment and booking availability, and we can discuss the best times to suit both parties. -
My availability:
I aim to be available for all of my lessons 100% of the time but there are times when my personal circumstances mean I need to cancel a lesson myself. In this event I will always offer the option to book a replacement lesson. -
Termination of student lessons:
I reserve the right to cease teaching a student if I feel the student is not the right fit for my services. -
Lesson timekeeping:
Students should aim to be on time for lessons. I will wait for a maximum of fifteen minutes for a student.-
In the event that a student is late but within fifteen minutes, their lesson will not run over the original end time.

In the event that a student is too late to start (i.e. more than fifteen minutes late) and I have not been informed of student cancellation, the lesson will be cancelled and any fees paid will be non-refundable.

Study environment:
It's the responsibility of the student or their parents to ensure they are able to log on to any lesson from a quiet, secure environment. I reserve the right to cancel a lesson if they are not in such an environment ready for their lesson. Students must log on using a desktop computer, laptop, or suitable tablet. Using a mobile 'phone is not acceptable. -
Lesson expiry:
If you pre-pay for lessons but do not book them, then after a three-month period they will expire and you would need to pay for more. -
Refunds:
Refunds are only issued if a student relationship is completely terminated. In any other circumstance, where appropriate, you will be given the opportunity to re-book any paid-for lessons (subject to all other terms on this page). -

Safeguarding, Privacy and Use of Personal Information

Privacy:
I will respect the privacy of the student and their parents/guardians at all times. Any information that is shared between us is strictly confidential. -
Personal information: ​Any personal information you give me, either on this website (for example, via a contact form), via email or direct mail, phone contact or direct contact in person will never be sold, rented or made public without your consent. I take your privacy seriously. I'll only use your information to administer your account or provide the products, services and/or information you’ve asked for. Sometimes, to do that I might need to pass the information on to a third party (for example your email into Calendly when booking a 15-minute chat). When I do, I’ll use safe, reliable, GDPR-compliant services that won’t pass your personal details anywhere else.

Lessons will be recorded on request - students should request the Zoom link if required to access the recording.

DBS: I hold a current valid DBS check at all times and am happy to produce this on request.

If you email me, either using a website contact form or by sending a direct email, I’ll get that information in an email. That data isn’t stored on my website.

If you telephone me and I need to store your details for any of the legal bases explained I’ll store it safely on my computer.

I may keep a record of contacts (such as emails that have been sent and received), but again I won’t use the details for anything other than the relevant legal reasons stated.

Access To Your Information And Correction
You have a number of rights including the right to request a copy of the information that is held about you. If you’d to know what information is held, please contact me and I'll reply to you by email. Legally that’s within one working month, but I’ll aim to reply as soon as I can. I want to make sure that your personal information is accurate and up to date. So once you have any information, you can ask me to correct or remove anything you think is wrong. I'll normally be happy to help at no charge, however where requests are manifestly unfounded, excessive, or repetitive after an initial, responded to, request, I’ll potentially charge an admin fee to cover the time taken to fulfil the request. This fee will be charged at my standard hourly rate.

Third Party Processors
I use a number of third parties to process personal data. These third parties have been carefully chosen and, to the best of my knowledge, all comply with current legislation where applicable for their country. I may need to share your information with them in order to process products or services. This may be within the UK or outside including the United States and countries outside of Europe.

Zoom

Wix
This website is hosted on a server owned by Wix. The server is kept up-to-date and has round-the-clock monitoring. To see Wix's Privacy Policies click here.
Gmail
I run company emails through Gmail. Thus emails sent both to and from me are stored on Google’s secure mail servers.
Google analytics
I may use Google Analytics to track the user interaction which is a commonplace feature on many websites. Although Google Analytics records data such as your geographical location, device, internet browser and operating system, none of this information personally identifies you. Google Analytics also records your computer’s IP address which could be used to personally identify you but Google do not grant me access to this. I consider Google to be a third-party data processor.

FreeAgent
I use FreeAgent as my cloud-based accounting software. Here I securely store details of customers, suppliers and transactions with them. To see FreeAgents’s privacy policy, click here.
GoCardless
I use GoCardless to process Direct Debit transactions. When customers sign up to pay by Direct Debit they do so directly with GoCardless. To see GoCardless’s policies, click here.
Calendly
I use Calendly to run my booking calendar to book free 15-minute chats. When lessons are booked with me, they are booked through Zoom and not Calendly. To see Calendly's privacy policy, click here.

Data Breaches
I will report any unlawful data breaches of data held by me to the ICO as required (https://ico.org.uk/for-organisations/report-a-breach/personal-data-breach/) within 72 hours of becoming aware of a breach taking place if it is apparent that personal data stored in an identifiable manner has been stolen.

Other Information
All traffic (transferral of files) between this website and your web browser is encrypted and delivered over HTTPS.
This privacy policy only applies to this website so when you link to other websites you should read their own privacy policies.
Future Changes
This privacy policy may change from time to time in line with legislation or industry developments. Please check this page periodically for any policy changes.

Verbal reports
Verbal reports are available at any time for the parent/guardian of a student. To book a report, please use the 'book a 15-minute chat' button on any page of this website. -
Written reports
A short written report can be provided on request. To request a report parents/guardians should email a request to my private email address (provided to all signed up students / parents/guardians of signed-up students).
